CHAPTER RULES
Gamma Pi Chapter, Ohio State Organization
Delta Kappa Gamma Society International
Article I – NAME
The name of this chapter shall be Gamma Pi Chapter of Ohio State Organization,
Delta Kappa Gamma Society International
Article II –MISSION AND PURPOSES
The object of this chapter shall be to promote the purposes of the Delta Kappa Gamma Society International as found in the Constitution, Article II.
Article III – MEMBERSHIP
Section A – Membership of the chapter shall be classified as active, reserve, and honorary members. All membership is in accordance with the Constitution, Article III. The chapter has authority to act in matters of membership
When a collegiate member starts her career as a paid educator, she will pay active dues and become an active member. If a collegiate member does not pursue a career as an educator, her membership will expire upon graduation or withdrawal from the education degree program.
Section B – Candidates for active/honorary membership: Recommendation for membership
forms shall be available at each regular meeting or can be found on the Ohio State Organization website. These forms shall be completed by the sponsoring member and returned by February 1 to the Second Vice-President. The membership Committee shall review the recommendation forms and present the candidates’ names to the Chapter in March.
Section C – Voting for prospective members will occur at the April meeting. The general
membership shall vote by secret ballot. Until the time for preferential voting is necessary, 4/5 of those voting will elect the candidate to membership.
Section D – Invitations to membership shall be in writing and delivered as soon as possible
following election to membership. Candidates will respond with a written note.
Section E – Orientation of members-elect shall be held following the April meeting and shall be
the responsibility of the Second Vice-President.
Section F – Initiation shall be held annually in May.
Section G – Transfer Active and reserve members in good standing may transfer to another
chapter upon application to International headquarters.
Section H – Termination The chapter treasurer shall maintain a permanent record of current members and members have been terminated. This record shall include the reason and date of termination. The Recording Secretary shall enter into the minutes, the name, date and reason for the member's termination.
Section I – Reinstatement of members shall be in accordance with the Constitution.
Section J – Disposition of Returned Jewelry The executive board shall decide on disposition
of society jewelry which has been returned to the chapter.
Article IV – FINANCES
Section A – Annual Dues and scholarship fees shall be paid by a date in accordance with the Constitution each year. After that date members will be dropped for non-payment of
Dues and Fees. The Finance Committee shall make recommendations for the
changes in dues by the May meeting . Members shall be informed prior to the first
yearly meeting concerning dues changes.
Section B – Chapter dues are set annually by the Executive Board and approved by the chapter.
Financial matters are in accordance with the Constitution, International Standing Rules and Ohio State Organization bylaws. Members shall be assessed one dollar for the local Coordinating Council Scholarship and one dollar for World Fellowship.
Section C – Initiation Fee of $40.00 shall be required of all new members (except honorary).
This includes dinner at initiation.
Section D – Funds for Conventions The chapter shall completely fund the president’s or Co-President’s attendance at local meetings and mandated state conventions and meetings including mileage (amount established by the state). Funds budgeted for convention but not used by the president or the co-president shall be returned to the treasury or can be applied to national convention travel.
Section E – Financial Controls A budget shall be prepared by the treasurer and finance
committee and adopted annually by the chapter during the May meeting. The books shall be audited each biennium in the summer. The audit report shall then be submitted for acceptance during the September chapter meeting. Expenses should be approved by the president in accordance with the budget.

Article VI – OFFICERS AND PERSONNEL
Section A – Chapter Officers and Duties
Chapter Officers shall include President and/or Co-President, First and Second Vice-President, Recording,
Corresponding and Assistant Corresponding Secretary. Officers shall perform duties
Prescribed by the Constitution, Ohio State Organization Bylaws and as authorized by the
Gamma Pi Chapter Rules. The President or Co-President shall represent the chapter at required meetings and conduct the chapter meetings. She shall represent the chapter at the Coordinating Council meetings and as a voting member of the State Executive Board.
Section B – Election of Officers Chapter officers (except treasurer) shall be elected in even - numbered years by a majority vote. Term of office is two years.
Section C – Nominations and Elections A Nominations Committee shall be comprised of three
to five members, presented by the president and/or co-president and elected by the chapter at the first Fall meeting. The President and/or Co-President shall appoint a chairman from those elected. Elections of Officers shall be by ballot and a majority of votes cast determines the outcome. If there is only one nominee for office, election may be conducted by voice vote.
Section D – Term of Office Officers assume their responsibilities on July 1 following their
election. No officer, except treasurer, may serve longer than two terms in succession. Each term is two years long or until a successor is named in event of a vacancy.
Section E – Vacancies According to the Constitution, when a vacancy occurs in the office of President, the First Vice-President shall assume the office. Vacancies in other offices shall be filled by Presidential appointment.
Article VII – BOARDS
The Gamma Pi Chapter Executive Board shall be the elected officers, the immediate Past President, and other members determined by the chapter. The Treasurer and Parliamentarian shall by ex officio members without vote. The Chapter Executive Board shall meet at least twice annually and shall function in accordance with the Constitution. Committee chairs shall attend board meetings as ex officio members without vote. A quorum is the majority of voting members.
Article VIII – COMMITTEES
A – Standing Committees are appointed by the President and/or Co-president except the
Nominations Committee and the Finance Committee, which are elected.
Society Business consists of the Finance, Membership, Nominations, Communications, and Parliamentarian and Chapter Rules committees.
Society Mission and Purposes consists of the Scholarship, World Fellowship, Educational Excellence and Strategic Planning Committees.
Chapter Business consists of the Devotions, Telephone, Publicity, Historian, Music, and Spring and Fall Social committees and the Website Committee.
Newsletter- Gamma Pi Newsletter, “The Gamma Pi Go Between”, shall be published
at least twice a year with the approval of the president and/or co-president.
Section B – Finance Committee shall be composed of Chapter President, Treasurer, and three
members. The President shall appoint as chairman for the biennium one of the three members. The Chapter President and/or co-president and Treasurer serve as ex officio non-voting members. One of the three members will be appointed as Chair for the next biennium.
Section C – Ad Hoc Committees These committees shall be appointed by the President and/or
the co-president and shall be dismissed after submitting final reports
Section D – General Procedures The President and/or co-president shall be an ex officio
member of all committees except Nominations. Matters requiring immediate committee action may be voted on by mail. Committee meetings shall be planned with the President and/or Co-president. Funding for committee work shall be provided in the budget.
Section E – Duties of Committees Standing committees shall perform the duties specified in
the Constitution, and the Policies and Procedures of Ohio State Organization.
Article IX – MEETINGS
Regular chapter meetings shall be held at least four times per year. Other meetings/excursions may be scheduled . Chapters may meet through electronic communication as long as all members simultaneously hear one another and participate in the meeting.
A quorum for conducting chapter business shall be a majority (one more than ½_) of members in attendance. The President will determine the order of business during each meeting.
Article X – AMENDMENTS
The Executive Board shall review the Chapter Rules at least once during each biennium. Changes may be proposed according to Robert’s Rules of Order (by Executive Board or an individual), at any business meeting for approval by majority vote of members in attendance.
Changes will be published in the Chapter Newsletter.
Article XI – DISSOLUTION OF CHAPTER
International Standing Rules delineate rules and conditions governing dissolution of a chapter.
The State organization will be notified for approval for dissolution. All chapter accounts remaining and chapter paraphernalia and records will be delivered to the state organization. Members have the option to transfer to another chapter.
Article XII – CHAPTER REMEMBRANCES
Section A – Death of a Member The Corresponding Secretary, in the name of the Chapter, will
send a suitable tribute, not to exceed $25.00 to the family or a designated charity.
Section B – Wedding, Birth, Illness, Death of Family Member A suitable card will be sent
concerning the death of a family member, member’s illness, wedding, or birth.
Section C – Gift of thanks At the conclusion of a biennium, a gift (not to exceed $50.00) will
be given to each outgoing President and Co-President. The First Vice-President is responsible for purchasing and presenting the gift.

The object of this chapter shall be to promote the purposes of the Delta Kappa Gamma Society International as found in the Constitution, Article II.
- To unite women educators of the world in genuine spiritual fellowship.
- To honor women who have given or who evidence a potential for distinctive service in any field of education.
- To advance the professional interest and position of women in education.
- To initiate, endorse and support desirable legislation in the interest of education and of women in education.
- To endow scholarships to aid outstanding women educators in pursuing graduate study and to grant fellowships to women educators from other countries.
- To stimulate the personal; and professional growth of members and to encourage their participation in appropriate programs of action.
- To inform the members of current economic, social, political and educational issues so that they may participate effectively in a world society.
Article III – MEMBERSHIP
Section A – Membership of the chapter shall be classified as active, reserve, and honorary members. All membership is in accordance with the Constitution, Article III. The chapter has authority to act in matters of membership
- Active – women employed in or retired from educational work..
- Reserve – formerly active members who are retired from educational work and are unable to participate fully in the activities of the chapter because of physical disability, health issues, or geographic location. Status is granted by a majority vote of the chapter. Reserve members may not hold office.
- Honorary – women who currently give distinguished service to education. Honorary members retain privileges of membership, but cannot hold office.
- Collegiate – Collegiate members should be undergraduate or graduate students who meet the following criteria:
- Undergraduate collegiate members shall be enrolled in an institution offering an education degree and have intent to continue academically and professionally in the field of education.
- Be enrolled within the last two years of their undergraduate education degree.

Article V – ORGANIZATION
Section A – Chapter
- The chapter shall be governed in a manner consistent with the Constitution, International Standing Rules, Ohio State Organization Bylaws and Policies and Procedures, and Gamma Pi Chapter Rules.
- The chapter retains membership in the Mahoning County Coordinating Council and will contribute $150 annually toward a local scholarship. The coordinating council shall meet annually.The chapter President or Co-president will have voting rights.
Article VI – OFFICERS AND PERSONNEL
Section A – Chapter Officers and Duties
Chapter Officers shall include President and/or Co-President, First and Second Vice-President, Recording,
Corresponding and Assistant Corresponding Secretary. Officers shall perform duties
Prescribed by the Constitution, Ohio State Organization Bylaws and as authorized by the
Gamma Pi Chapter Rules. The President or Co-President shall represent the chapter at required meetings and conduct the chapter meetings. She shall represent the chapter at the Coordinating Council meetings and as a voting member of the State Executive Board.
- The First Vice-President shall be program chairman. She shall preside in the absence of the President. She shall purchase and present the outgoing President’s gift at the end of the biennium.
- The Second Vice-President shall be chairman of the membership committee and in charge of the Orientation program. She shall also be responsible for Chapter Paraphernalia: brass bowl and three small trays and miniature candle holders; Bible; Constitution; Charter; Coat of Arms.
- The Recording Secretary shall be responsible for keeping accurate meeting minutes and attendance. A copy of the minutes will be given to the President and a copy will be retained by the Recording Secretary.
- The Corresponding Secretary is responsible for sending remembrances and for receiving outside correspondence. In the absence of the Recording Secretary, the Corresponding Secretary will take minutes.
- The Assistant Corresponding Secretary (Yearbook Coordinator) is responsible for updating the yearbook. Two copies of the yearbook will be mailed to the Ohio State Organization First Vice-President and a copy will be mailed to each Coordinating Council President annually.
- The Treasurer shall be selected by the Executive Board and approved by the Chapter. The treasurer is responsible for dues collection and all financial chapter obligations. She shall order a President’s Pin and give it to the Nominations chairman before the May installation meeting. She is also charged with developing a budget which will be approved annually at the May meeting
- A Parliamentarian shall be appointed by the chapter President and/or Co-President. The parliamentarian serves without vote and may be an honorary
